Building Trust Through Uncertainty: How Zero Panic Approaches Client Work

Whenever you come up with an idea that you need some IT product—be it for automation, sales, marketing, management, or whatever—it usually (I'd say always) starts as a vague picture. You kind of know what you want, but not really. At the same time, you probably want a fixed time and budget estimate. Oh, and you're probably a little nervous about hiring an outside team that might not deliver.

We get it. The uncertainty isn't just on the client's side. For us, starting a new relationship is risky too. We're investing time, focus, and our best people into building something with very little upfront guarantee. If expectations aren't aligned, we risk not just going unpaid, but missing out on what we're really after—a long-term, productive partnership. That's a tough starting point—for you and for us. But after years in the industry, we've developed a fairly reliable approach to tackle exactly this kind of situation. One that builds trust early, delivers tangible value fast, and keeps everyone aligned as we move forward.

Step 1: Start Small, Start Real

Most projects begin with uncertainty on all fronts: scope, timeline, budget, trust, and communication. That's normal. We don't try to solve everything up front. Instead, we go step by step.

We look for whatever clarity already exists—however small. There's always something the client is confident about. Some piece of functionality. Some workflow. Some output. That's our anchor.

From that, we collaboratively define the smallest meaningful version of the product—the MVP. We intentionally limit the scope as much as possible and give a clear estimate. Then we build it.

This MVP phase is critical. Not just because it delivers value, but because it builds the working relationship. It lets our clients see how we think, how we manage projects, how we communicate, and—most importantly—how we deliver.

Step 2: Learn and Plan the Next Move

Once the MVP is up and running, we've usually learned a lot more about the product, the business, and the client's actual needs (which often turn out to be different from the initial vision—and that's okay).

At this point, we help prioritize what's most valuable to build next, balancing business impact with implementation cost.

For the next steps, we agree on the best working mode:

Fixed bid, if the scope is well defined
Time & material, if the work is exploratory or open-ended

Then we repeat the cycle. Small batch. Clear goals. Real outcomes.

Why This Works

This model only works when you build on a few key principles:

Communication over documentation (but not instead of documentation—docs are the result of good communication, not a substitute for it)

Expectation management over blind optimism (we don't promise what we're not sure we can deliver)

Clarity on estimation vs commitment (estimates are probabilities; commitments are guarantees—we make the difference clear)

Money20/20 Amsterdam

Spent last week at Money20/20 in Amsterdam, and I'm still processing how inspiring it was!

Amsterdam always has a special vibe, and when it comes to tech and fintech events, this city never disappoints. It was the biggest conference I've attended so far, and honestly, it felt like the perfect mix of energy, innovation, and great people.

I'm not someone who races from keynote to keynote, though some of the talks were amazing. What really excites me is the conversations: talking directly with founders, product people, and professionals who are building things that could truly reshape the industry. There's something special about connecting with people who are not just talking about change, but actually making it.

For our team, Money20/20 was also about engaging with fintech professionals, exploring emerging trends, and presenting our work in tokenization, DeFi, trading, and investment management platforms. Reconnecting with past colleagues—partners in crafting award-winning solutions—was a real highlight.

We're grateful to everyone who connected with us during the week and look forward to advancing these discussions.

And maybe (just maybe!) one day I'll be on stage at an event like this, sharing something meaningful of my own. If that ever happens, I'll look back at this post and smile :)
